SAL Plan for New York City Climate Week (NYC CW), September 17 - 23, 2023, as of September 15, 2023 

DAY WORKSHOP FOR THE DELEGATION ON THURSDAY, SEPTEMBER 21.

NEEDED FROM EACH EVENT ASAP

  1. Each person on your team coming to NYC to be part of SAL at NYC Climate Week to fill out the registration form here: rc.org/workshop/nycclimateweek2023
  2. Events are listed below, with the people we have been told are part of the event teams. If there are unlisted people on either the leadership or organizing team, please notify us.  (If you need more organizers than you have, we can supply them but we need to know who you have that is coming and plans to play that role.)   3. Each event please fill out the Social Media Form asap.  We use the information in this form to register us with NYC Climate Week, for creating flyers, for social media.
  4. We need two photos for each event for NYC CW webpage. If you have a preferred photo showing something relevant to your event, please send it, otherwise we will choose your photos.
  5. Set up some discharge times with your group, as well as work dates. Please address the COVID protocol during one of those times.

EVENT LEADERS AND ORGANIZERS, WE HAVE CREATED A CHECKLIST TO HELP YOU TRACK WHAT MUST BE DONE TO BE READY FOR YOUR EVENT. 

Location of events in Manhattan

SAL has two rooms rented at 12 East 41st Street from 9 am – 5 pm on September 17 – 23. They are each a good size, and can both be used for presentations. We also have a storage space in the basement to store our materials. 

There is not a good space for people to leave backpacks or other personal belongings, so please do not plan on that.

Housing

We’ve booked accommodations for 30 people in Brooklyn at two Air BnBs.  No one will have a single room; most rooms have double or single beds, that could each sleep a single person.  There is one room with a king size bed and another with a queen size bed, we will ask whether you would be comfortable sharing that bed with another delegate.  A few people may sleep on couches or mattresses on the floor, but in separate rooms from the beds. 

We will book additional accommodations as necessary.

The Plan

  1. To have 2 SAL events each day (each 1.5 hours long), Sunday the 17th through Saturday the 23rd, at 12 East 41stStreet St.  Mostly they are workshops, with one or two presenters.  We would like each event to be followed by an optional listening circle.  Morning event will be 10:30 am – 12 pm, afternoon event 1:30 – 3 pm; both followed by one hour listening circle.
  2. To have listening projects each day at the two main entrances to the United Nations, from 9 - 11:30 and 12:30 - 3 pm. We encourage listening projects targeted at the event for several days before each event. We will also have general listening projects. 
  3. To have RCers attending other NYC Climate Week events to check out possible alliances, interest people in our work, learn stuff.  This will be at the People's Climate Week events on Monday and Tuesday evenings.
  4. To meet as a delegation daily from 4 – 5 pm, then people are on their own, or with their event team, or on one of our planned excursions for the evening.
  5. Orientation for new people at 9 am and 5 pm each day.
  6. All day workshop for the delegation present from 9 am to 5 pm on Thursday the 21st.
  7. We are organizing for a strong presence at the march on Sunday the 17th, no other scheduled events will happen that day.

The Delegation

Some events will be led and organized by a team from one or two Regions.  A four-person team would be sufficient for most events.  Some people will stay for the week as support to the overall undertaking.  Some individuals from NYC will come as volunteers for the day.  However, most teams will stay only for a few days and should choose to come one of the two time periods: Sunday the 17th through Wednesday the 20th, or Wednesday the 20th through Saturday the 23rd.  (We can flex on this if necessary.)  While each event(s) will just happen on one day, most will have “targeted listening projects” the day before.  And we would like for everyone to assist with other events, listening projects, and attending other events, during the days they are with us.

Dress Rehearsal

We will ask each team to do a “dress rehearsal” of presenting their event online before they come to NYC, for practice and to get feedback.  Preferably in late August.

Zoom access to SAL@NYC Climate Week events

Access to our events via Zoom will be announced to the RC Community and organized.  A short video clip of each event will also be posted to Facebook within 24 hours. 

Two events are Hybrid, and will be streamed to the world as well as to the RC Community.

Daily Schedule at 12 East 41st Street, September 17 - 23

Arrive at location 9 am daily

Listening projects at UN daily 9:00 - 3 pm.

Morning events start at 10:30am, 10:30 – 12, listening circle 12 – 1pm

Afternoon events start at 1:30pm   1:30  – 3:00pm, listening circle 3:00 – 4:00pm

SAL meeting 4 -5 daily

Evenings on your own to continue preparing your group, attend other NYC CW events around town, join an excursions organized by someone with the delegation, rest, session. 

Organizing the events

The event organizing team’s job is to make sure the room is set up, have all materials needed (we can do printing for you), have a crew to welcome people and collect contact information, see what special needs the leader has and meet those.  The lead organizer would also see to it that a targeted listening project (intended to interest people working at the UN in the event) happens before the event.  See detailed description here.

Leading the events

The event team leader will develop the event, recruit any other speakers (it can just be the one speaker, two, or a panel), recruit supporters/organizers, and stay in good contact with Diane.  See detailed description here.

Jobs

Many people will have a job separate from and in addition to the job they will do specific to an event.  Please see the jobs list here and think about what you would like to do.  We’ll be in touch. 

Finances

SAL can pay delegates’ travel to and from NYC, your lodging, and a per diem for the days you are working with SAL/UER, as needed (in other words, all your expenses).  If you can pay any of these expenses yourself, or don’t need a per diem, we happily accept your donation to SAL. 

We ask people not to fly, if possible.  (Carbon footprint.)

For reimbursement, send the amount requested, receipt (if you have it), and your mailing address (you will be mailed a check by the Foundation) to Diane at ircc@rc.org.
